Job Description:

The Operations Manager (OM) will be responsible for ensuring organizational effectiveness by providing leadership for the organization’s finance and administration functions. Primary responsibilities include financial and operational planning and personnel management (small, local staff and international volunteers), local fundraising, and grant writing. As a member of the management team, the OM will develop and implement organizational strategies, policies, and practices. The OM will report directly to the Executive Director (ED).

Improve the operating systems, processes, and policies in support of the organization’s mission — specifically management reporting, information flow, management, business processes, and organizational planning

  • Responsible for long-term planning, including an initiative toward operational excellence
  • Management of organizational budget in cooperation with the ED
  • Development of individual program budgets
  • Payroll management, including tabulation of accrued employee benefits
  • Prepare and present financial and operational reports for ED

Responsibilities by Function:

  • Manage day-to-day processing of accounts receivable and payable using QuickBooks; produce reports as requested with the help of our Administrative Assistant (AA)
  • Reconcile monthly activities and generate year-end reports, fulfilling tax related requirements
  • Recommend and implement improvements to systems recording of revenue transactions

Human Resources

  • Oversee recruitment, hiring, training, and orientation of staff members in collaboration with ED
  • Evaluate skills, experience, and professional development needs of all staff
  • Administer payroll and employee benefits and organizational insurance
  • Ensure that MAD complies with all state and federal employment requirements
  • Maintain and update human resource policies and procedures
  • Receive and resolve employee grievances

Activities include marketing, fundraising, grant writing, and corporate sponsorships

  • In collaboration with the ED and AA develop, implement and oversee local marketing and fundraising strategies to promote MAD and to ensure increased, diversified income sources, including corporate and individual donors
  • In collaboration with the ED, oversee grant manager with particular focus on financial planning, reporting and budgeting
  • Oversee local staff responsible for creation, distribution and maintenance of organizational marketing material, website, social media, and monthly newsletter
  • Oversee, develop, maintain, and monitor all fundraising systems and procedures to record pledges and donations in our Salesforce.com database
  • In collaboration with ED, oversee development and implementation of all special events, including volunteer trips and fundraisers
  • Contribute to short and long-term organizational planning and strategy
  • Perform regular evaluation of staff
  • With the ED, serve as the organization’s liaison in negotiating and enforcing agreements


  • At least 3 years’ experience in Financial Management
  • Excellent verbal and written communication skills
  • Knowledge and experience in effectiveness and operations management specific to non-profit organizations
  • Demonstrated leadership and vision for major projects and initiatives and their staff
  • Commitment to high professional ethical standards in a diverse workplace
  • Strong skills at operating in a fast-paced, community environment
  • Ability to delegate responsibilities effectively
  • Experience working with and supervising people from diverse cultures
  • At least two years of experience in grant writing and fundraising
  • Excellent computer skills and proficiency working with Excel, Word, QuickBooks, and Salesforce

Desirable Traits:

  • Experience in working with African communities, children, and non-profit organizations
  • Knowledge of government contract management
  • Commitment to MAD’s mission

Job Details:
Full time position 40 + hours per week. One hour off for lunch. Lunch provided Monday – Friday.

Salary Range:  Competitive salary commensurate with experience and qualifications
Expected Start Date: October 1, 2015
